This Privacy Policy describes how we collect, use, disclose, and safeguard your information when you use our property services platform (the "Service"). Please read this Privacy Policy carefully.

By using our Service, you consent to the data practices described in this policy. If you do not agree with the data practices described in this Privacy Policy, you should not use the Service.

We collect information that you provide directly to us and information that is automatically collected when you use our Service:

Information You Provide:

  • Account registration information (name, email address, phone number)
  • Profile information and preferences
  • Property-related information and inquiries
  • Communications with us or other users through the platform
  • Location information (if you enable location services)

Automatically Collected Information:

  • Device information (IP address, browser type, operating system)
  • Usage data (pages visited, features used, time spent on the Service)
  • Cookies and similar tracking technologies

We use the information we collect for the following purposes:

Background location collection

When you use EasyApply's moving service as a service provider (driver) and have an active trip in progress, the app collects your device's precise location in the background — that is, while the app is minimised, the screen is locked, or the app is not in the foreground.

Why we collect background location

Background location is collected solely to provide live trip tracking. While you are fulfilling a confirmed moving job, your real-time position is shared with the customer (the tenant who booked the move) so they can see the truck's progress on a map and estimate arrival. This is a core feature of the moving service and is essential to the customer experience.

When background location is collected

Background location collection only occurs:

  • After you, as the service provider, have explicitly tapped "Start Trip" on a confirmed booking, AND
  • Until the trip is marked as completed (either by you tapping "Complete Trip", or automatically when the job is closed).

We do not collect background location at any other time. We do not collect background location for tenants/customers — only for service providers on active jobs.

Who we share background location with

Your live position is shared only with the specific customer associated with the active trip. It is not shared with any other users, advertisers, third parties, or analytics providers. It is transmitted directly from your device to our servers and from our servers to the customer's device via a secure real-time channel.

How we store and retain background location data

  • Live position updates are sent every 60 seconds while a trip is active.
  • Each update overwrites the previous position; we do not maintain a historical trail of every coordinate.
  • Once a trip is marked complete, the final position is retained for 30 days as part of the trip record (for dispute resolution and service-quality purposes), then automatically deleted.
  • Position data is never used for advertising, profiling, or any purpose other than live trip tracking and post-trip dispute resolution.

How to stop background location collection

You can stop background location collection at any time by:

  • Tapping "Complete Trip" in the app to end the active trip, OR
  • Revoking the location permission for EasyApply in your device's system settings (Settings → Apps → EasyApply → Permissions → Location → Deny). Note that revoking the permission while a trip is active will prevent the customer from seeing your live position.

Deletion of historical location data

You may request deletion of any retained location data tied to your account by emailing hello@easyapply.co.za or via the in-app account deletion option. We will delete all location data associated with your account within 30 days of the request, except where retention is required by law or for the resolution of an ongoing dispute.


Data breach notification

In the event of a data breach that may affect your personal information:

  1. We will notify you without undue delay and within 30 days of discovery.
  2. Notification will be sent via email and/or SMS to your registered contact details.
  3. The notification will include:
    • Description of the breach
    • Type of personal information affected
    • Steps we have taken to address the breach
    • Steps you should take to protect yourself
    • Contact details for more information
  4. We will also notify the Information Regulator as required by POPIA Section 22.

Cross-border data transfers

Your personal information is primarily stored and processed in South Africa.

We may transfer your data to service providers or systems located in other countries where necessary for the services we offer (for example, cloud hosting, email delivery, or analytics). Where we do so, we take steps to ensure that your information receives an adequate level of protection.

Safeguards we use for international transfers may include:

  • Standard Contractual Clauses (SCCs) or similar contractual commitments
  • Recognition of adequacy (e.g. where the country is recognised as providing adequate protection)
  • Binding corporate rules or other approved mechanisms where applicable

If we use third-party service providers located outside South Africa, we ensure they provide adequate protection for your personal information in accordance with POPIA Section 44. For more detail on specific countries or providers, please contact us using the details below.


Data retention

We retain your personal information only for as long as necessary for the purposes set out in this policy or as required by law. We retain different categories of data for the following periods:

  • Account information: 7 years after account closure (for tax and legal requirements)
  • Transaction history: 7 years from the transaction date
  • Communication records: 3 years from last interaction
  • Website analytics: 26 months (e.g. Google Analytics default)
  • Job applications: 2 years after the position is filled
  • Loan applications: 5 years after application (NCR requirement)

Where we cannot demonstrate a legitimate legal or business need to keep your data, it will be deleted. You may also request deletion of your personal information subject to our legal obligations; such requests are processed within 30 days where applicable.


Your rights under POPIA

As a data subject under the Protection of Personal Information Act (POPIA), you have the following rights in relation to your personal information:

  1. Right of access: You may request access to your personal information that we hold.
  2. Right to correction: You may request correction of inaccurate or incomplete personal information.
  3. Right to deletion: You may request deletion of your personal information, subject to our legal obligations to retain certain data.
  4. Right to object: You may object to the processing of your personal information in certain circumstances.
  5. Right to notification: You have the right to be notified of data breaches that may affect your personal information (see the Data breach notification section above).
  6. Right to complain: You may lodge a complaint with the Information Regulator of South Africa if you believe your rights have been infringed.
